Learn how to Create Reports and Dashboard

You all must have heard the terms reports and dashboard around you if you are in corporate field. Many find it a very meticulous task but it is barely true. It is very interesting and fun to create these data. 

Before diving into this article, you must know some basic terms. Firstly you should be aware of the Reports in Salesforce. This shall make the experience of this article more manageable for you and simple to grasp. 

So let’s get started now! 

What is Report? : 

  • Reports are the list of records related to the objects that meet the criteria defined.
  • You can filter reports, group words, and do some maths On the pieces. 
  • After creating the reports, apply graphical charts as well.
  • Whenever you create a report, you can create separate folders for messages or put more than one report in one single folder.
  • These are three permissions, Edit, View, or Manage, which you can provide to different users. In addition, we can edit, view, or Manage, which are available in the report folder. 

Now then, we start to create a report.

  • First, we open a Salesforce org.
  • If you open your org there, you will find two tabs Reports and  Dashboard. If those tabs are unavailable in your app, we can click App Launcher and search for them directly. Reports and click it.

  • And if you write Dashboard, so it is also available.
  • Then we click on the Reports tab.

  • Then we create a new report, so we Click on the New Report.
  • Then search report type. Like opportunities and accounts, and we will select options.
  • And then click Start report.

  • Then we can select the filter in the left corner. 

  • For the Close date field, we can click the Range and select All time.


  • Click Apply.
  • Don’t forget to hit “Refresh” if needed to see your updated report.

  • In the upper right corner, enable the update Preview Automatically.

  • Then click the Outline tab and type Stage in the Add group, and select  Stage.




  • Click Save & Run. and give the Name of the Report. 

  • Click Save.

  • If you want to Create a Graphical view, we click the Add chart in the top right corner.

  • Click Add chart and see the graphical view.

  • If you want a different chart like a pie chart, Line Chat, Bar chart, etc., then we click  chart properties settings. Click the gear icon.
  • Now you can choose any one chart.

 Report Folders:-

  • View, Edit, and Manage are three sharing settings, so these are associated with the folder. If you have a particular sharing setting like view permission, or you have edit permission, or you have to manage consent so, only you can control report folders are available for you; otherwise, not.
  • Report Folders can be hidden, Public, or shared.
  • We can control access to the folder’s contents based on Permissions, Roles, Public groups, and license types.

Now it’s time to understand and learn about Dashboard.

What is a Dashboard?


  • A Dashboard is a visual representation of key metrics and trends for records in your org. In other words, Dashboard is a  data visualization; we can represent our business overview using the dashboard.
  • The source of the dashboard reports.
  • All of the different information like when we drive the car, the information related to the car like, what is the speed of the vehicle, how many kilometers you have run, what is the temperature of the car, etc. all these information we can see on the dashboard in graphical format.
  • If you have one report and want to display it differently, like a pie chart, Line chart, or Donut chart, that is also possible.

Now let’s learn about Dashboard.

  • First, open your salesforce Org. then click on App Launcher, type sales, and select it.

  • Now we click on the Dashboard tab. Then click on New Dashboard.

  • Then you can Write the Name of the Dashboard as per your choice.
  • Then click on the select folder. (Dashboard folder controls who has access to its content.)


  • Then can create a New folder. Now click the New folder. Then write the folder label and then save it.


  • Now we can select Our folder. Then click select folder.

Then click on create.

  • Now we need to add a component and click the element. However, before asking to add a part, it asks me to Select the Report.


  • Now I have selected an Opp test stage.
  • Then We will select the component.


  • Then select any one chart. We will choose Donut.

  • Then we will select the value, Sliced by the unit’s display, Max value display, etc.
  • Like we will select the display of the unit’s total Number. 

  • Then we click on Add. You can drag and drop it anywhere, and you can also increase the size.


  • We can add another component as well in one dashboard.


  • And then save it.
